Buying Wedding Chairs from China: Materials, Dimensions and Packing

When buying wedding chairs from China, buyers need to look beyond the product photo. Chairs with a similar appearance may differ in frame material, dimensions, construction and packing volume.

In one of our sourcing projects, the customer specified a stainless steel frame with PU upholstery for the backrest and seat. The customer also paid attention to chair dimensions and whether the backrest could be removed for more compact packing.

These details affect how suppliers should quote, what needs to be confirmed before production and what should be checked before shipment.

Confirm the Frame and Upholstery Specifications

Start by specifying the materials you require rather than relying on the supplier’s product name or photographs.

For the chair we sourced, the agreed materials were a stainless steel frame and PU upholstery for the seat and backrest. These requirements formed part of the purchasing and inspection scope.

Buyers should ask the supplier to confirm:

  • Frame material and the applicable material specifications
  • Frame finish and colour
  • Seat and backrest upholstery material
  • Upholstery colour and texture
  • Any material substitutions proposed by the supplier

If a particular stainless steel grade or material thickness is important to your order, include it in the written requirements and agree on how it will be verified. Appearance alone cannot establish a stainless steel grade.

Check the Actual Chair Dimensions

Similar-looking wedding chairs are not necessarily the same size. Some models are larger or smaller, which can affect seating comfort, appearance and suitability for the intended venue.

Before comparing quotations, ask for a dimensioned drawing or a clear measurement sheet. Useful measurements include:

  • Overall height, width and depth
  • Seat height
  • Seat width and depth
  • Backrest dimensions

Agree on the required dimensions, measurement points and acceptable tolerances before production. During inspection, measurements can then be compared against the approved specifications rather than judged from appearance.

Ask Whether the Chair Can Be Disassembled

Construction is an important purchasing detail that may not be obvious in a product photograph.

Some wedding chairs have a fixed structure and cannot be disassembled. This can take up considerable space during shipment, depending on how the chairs can be packed or stacked.

The model we sourced had a removable backrest, allowing the chair and its components to be packed separately for shipment. This helped reduce packing volume compared with shipping that model fully assembled.

When discussing a detachable design, confirm:

  • Which components can be removed
  • How the components are connected
  • Which fittings and tools are required
  • Whether assembly instructions are provided
  • How the fittings are packed and identified
  • How the assembled chair will be checked for stability

A detachable design also means assembly work at the destination. Consider both transport space and the practical work required after delivery.

Compare Packed Volume, Not Just Unit Price

A lower chair price does not automatically mean a lower overall purchasing cost. Packing dimensions and quantities influence how much space the order occupies.

Ask each supplier for the packing arrangement for the exact model being quoted, including:

  • Number of chairs per carton or package
  • Outer package dimensions
  • Net and gross weight
  • Protection used for frames and upholstered components
  • Estimated loading quantity and the assumptions behind it

For rectangular cartons, volume in cubic metres is calculated as:

Length × Width × Height in metres

Compare the same quantities and product specifications when reviewing offers. Estimated container capacity should be checked against the actual packing and loading arrangement.

We do not quote a universal space-saving percentage for detachable chairs. The difference depends on the model, packing method and protection required.

What We Check Before Shipment

For wedding chair inspections, we agree on the scope and sampling quantity with the customer. Our checks can include the following areas.

Colour and Finish

Compare the frame finish and PU colour with the agreed reference. Check for visible colour differences between sampled chairs and between components.

Stability and Assembly

Check whether the assembled chair wobbles on a suitable level surface. For detachable models, also check how the backrest and other removable parts fit and whether the connections are secure.

A basic stability check is different from formal load or durability testing. Any specific testing requirement should be agreed separately.

Welding and Frame Workmanship

Inspect accessible welds and frame surfaces for visible workmanship issues, including rough areas, sharp edges and defects in the finish.

PU Upholstery

Check the seat and backrest for visible damage, inconsistent appearance and finishing problems. Review seams and attachment points where applicable.

Dimensions and Material Specifications

Measure the agreed chair dimensions and accessible material dimensions against the order requirements. Any material identification or testing that requires additional equipment should be arranged in advance.

Packaging and Components

Check the packing arrangement, protection of exposed surfaces and the presence of required components and fittings.

For detachable chairs, pay particular attention to how separate parts are protected and whether the assembly hardware is included.

Prepare a Clear Enquiry Before Requesting Quotes

To help suppliers quote consistently, provide:

  • Reference images or the intended chair model
  • Required frame and upholstery materials
  • Dimensions and colour requirements
  • Whether a detachable backrest or other removable parts are needed
  • Order quantity
  • Packing preferences and delivery destination
  • Any inspection or testing requirements

A clear enquiry makes it easier to identify differences between offers and reduces the risk of comparing chairs that only look similar.
