Some buyers approach us with a product photo and an idea. Others already have a factory contact, a quotation or even payment terms they have discussed with the supplier. Both are valid starting points.

Start with the Information You Have
You do not need a complete specification sheet before contacting us.
A product photograph, website link, reference model or description of its intended use can help us understand what you are looking for. If you already know the specifications, share them so that we can use them when discussing options with suppliers.
Useful starting information includes:
- The product or type of machine you need.
- Reference photographs, links or specifications, if available.
- Materials, dimensions or performance requirements.
- Estimated order quantity.
- Colour, logo and packaging requirements.
- Delivery destination and preferred timing.
We can help clarify missing details as the enquiry develops.
For example, a customer looking for a slitting machine may send a reference machine photograph or describe the material they need to process. The incoming material width and required finished widths then help us identify potentially suitable equipment.
Confirm the Details That Affect the Quotation
Products that look similar can differ in materials, dimensions, construction and included components. These differences need to be clear before comparing quotations.
In one of our wedding chair sourcing projects, the customer specified a stainless steel frame and PU upholstery. Chair dimensions and a removable backrest were also important. The removable design allowed more compact packing, making construction and packaging part of the purchasing decision.
For machinery, we work through the proposed model and its individual specifications with the customer. An initial quotation can provide a starting point, followed by adjustments once the customer has reviewed the machine details.
The aim is to establish an agreed specification that can be used for the quotation, order and subsequent checks.
Choose the Working Arrangement That Fits Your Order
There are two main ways we work with customers.
Buying Products Directly from PLUMWHEAT
For many customers, PLUMWHEAT is their supplier. The customer agrees the product requirements and commercial terms with us and pays us according to the agreed arrangement.
We then manage purchasing from factories and coordinate the order on the China side. The customer communicates with PLUMWHEAT about specifications, order progress and delivery arrangements, without needing to manage the factory relationship directly.
This can suit buyers who want one commercial contact to coordinate their purchase.
Support for a Supplier You Have Already Found
Other customers come to us after contacting factories themselves. They may already have discussed specifications, pricing, trade terms or payment arrangements.
In this situation, we review the existing information and agree on the work the customer wants us to handle next. Depending on the project, this may include supplier communication, order follow-up, inspection coordination or shipment arrangements.
The customer may choose to retain the price and terms already negotiated with the factory. PLUMWHEAT then charges an agreed service fee for the support provided.
Before work begins, we clarify the scope of our role, who places the order, who receives payment and which decisions require the customer’s approval.
Decide Whether a Factory Assessment Is Needed
A quotation and product photographs do not answer every question about a supplier’s capabilities.
Depending on the order, a customer may want additional information about production facilities, equipment or quality control practices before proceeding.
PLUMWHEAT can arrange a factory assessment with an agreed scope. The purpose is to provide information relevant to the purchasing decision, rather than treating every supplier or project in the same way.

Put the Order Requirements in Writing
Once a product and supply arrangement have been selected, record the agreed requirements clearly.
Depending on the product, these may include:
- Model, quantity and specifications.
- Materials and dimensions.
- Approved samples or other reference information.
- Colours, logos and customisation details.
- Packaging and shipping marks.
- Production timing.
- Payment and delivery terms.
- Inspection requirements.
For customised products, confirm the details that will be used as the reference for production and inspection.
For example, when sourcing wooden beer dispensers, we discuss capacity, the wooden exterior, the stainless steel liner, colour and logo requirements. Recording these details helps keep the customer’s expectations and the supplier’s understanding aligned.
Follow Production and Check Goods Before Shipment
Order follow-up and inspection should reflect the product and the support agreed with the customer.
A pre-shipment inspection provides an opportunity to review goods before they leave the supplier. Checks may cover quantities, appearance, workmanship, dimensions, basic functions, accessories and packaging.
Our checks are tailored to the product. For wedding chairs, relevant points include dimensions, colour differences, stability, welds and upholstery. For wooden beer dispensers, we examine the tap and liner, check the logo and colour, and fill the dispenser with water to check for visible leakage.
We agree on the inspection scope and sampling quantity before the visit. English reports, photographs and videos help customers review the findings and decide on the next steps.

Plan Delivery Around the Actual Order
Delivery arrangements should take account of the goods, packaging, destination and required timing.
Confirm the packed dimensions and weight when planning transportation. For products such as furniture, whether an item can be disassembled may make a meaningful difference to packing volume.
Clarify which party is responsible for each part of the delivery process and which costs are included in the quotation. Product documentation and destination requirements should also be confirmed for the specific goods and market.
